Entry scanning

How to admit guests with Scan tickets: the camera, the list, and what each result means.

Scan tickets is the door scanner at seatme.co.za/scan. The screen is dark, with the camera in the middle and LIST and SCAN along the bottom.

Scanner and volunteer logins open here after sign-in. Front of house, box office, event managers, and owners can open it from the menu as Scan tickets. A shared scan link opens one event without signing in.

Open the scanner

    Sign in at seatme.co.za/login, then open Scan tickets.

    Or open the link a merchant copied from the event’s Entry scanners section (Quick share scan link). That link does not expire. It opens only that event. If the link is for one performance, the list stays on that night.

    Allow the camera

    The phone asks for the camera the first time. Choose Allow. The page must be opened over a secure address (https). If the camera stays off, tap Restart camera and check the browser’s camera permission.

    Check the top bar

    The Seatme logo returns you to the scanner. If you are signed in, Dashboard goes back to your home, and Log out ends the session. A scan link that you opened without signing in shows Log in instead.

Choose the event

The card at the top is labelled Scanning for.

  • One event: the title is shown. Tap the arrow to see Venue and When.
  • More than one event: pick the event in the list. You only see events you are allowed to scan.
  • A scan link: the event is already chosen. You cannot switch to another show.

A ticket for a different performance of the same show is not valid at this door. On LIST, use Show / date and pick the night you are working, or All Event Tickets to see every night. A link locked to one performance does not show those date buttons.

Scan a ticket

Stay on SCAN (the yellow button on the bottom right).

    Watch the camera line

    Above the picture you see Camera on or Camera off, then the status: Starting camera…, Scanning…, QR detected — validating…, Restarting…, or Camera error. Tap Restart camera if the picture freezes.

    Point at the code

    Hold one ticket close to the camera so a single code fills the box.

    If several codes are printed on one page, fit the whole sheet in the box first, then move closer to the code you want.

    When the room is dark and the phone has a light, a bolt button sits on the picture. Tap it to turn the light on or off.

    Wait for the result

    You hear a short tone when a code is seen. A gold line then says Checking ticket… and Hold steady for a moment. Do not let the guest through until the result is on screen. Tap OK (or Close) to scan the next person. Scanning stays paused until you do.

A green pill above the camera shows how many people are checked in and the total for the event you are scanning.

Entry granted

The green panel is titled Entry granted. It shows the seat (for example A12) when the ticket has one, then the guest’s name. Tap OK.

If that panel also says Already checked in, the guest was already admitted. Do not count them as a new entry. Tap OK.

The first successful scan admits the guest. A second scan of the same ticket is refused.

Entry denied

The red panel names the reason. It can include the guest’s name, a longer explanation, and, for a ticket already used, Scanned at with the date and time of the first entry. If that time was not stored, the panel says the original scan time is not available. Other refusals show a short code under the explanation. Tap OK before you scan again.

Ticket not validThe code is not a live ticket, or the ticket is cancelled or refunded.
Could not record entryThe scan did not save. Try again before you let the guest through.
Could not verify ticketThe scanner could not check the code. Read the explanation, then try again.
Scan failedThe check did not finish. Try the code again.
Entry deniedThe scanner refused the code and did not give a more specific reason.

Recent results

Under the camera, Recent keeps the last five results. Each row is Granted (green) or Denied (red), with the seat and name when the scanner has them.

Look someone up

Tap LIST at the bottom left. The camera stays ready in the background. The heading is Attendee list.

    Filter the night

    If the event has more than one performance, Show / date lists All Event Tickets and each performance. Pick the night at the door. A locked scan link skips this and stays on its performance.

    Search accepts a name or a seat. Clear the field with the round button on the right of the box. The line beside the search shows checked in and total.

    Read the row

    Each row has Guest, Seat, and Checked in (Checked in or Not checked in). Tap a row for Attendee details: guest, email, ticket type, seat, order reference, ticket status, and entry time.

    Check in without a code

    If the ticket is still valid and not checked in, Attendee details has a green Check-In button. Use it when the guest has no code to scan. The button shows Checking in… while it saves. It does not appear once the guest is already in.

Long lists show Previous and Next, with a line such as Showing 1–25 of 400.
